PUBLICITY/PROMOTION OF EVENTS
in Albuquerque, NM

For individuals, groups and/or organizations with cultural events, shows, workshops, and lectures, you can e-mail your events (in the Calendar Events Section) free of charge.  (See list at the bottom)
Here are some helpful tips:

  • Include pertinent information ONLY:  Date, day, time, EVENT, brief description of event (preferable one sentence), venue, address, ticket price or indicate if FREE, where to get tickets, contact no. (telephone only, no e-mail or fax).  If lecture, add info. about speaker.  If you feel a longer press release is needed, send it to the respective editors, not to the person in charge of the Calendar Events.  Don't expect the same person to forward it for you.  
  • Be sure your e-mail has a heading indicating your name, organization/group, your address (no P O Box), your telephone no. and your e-mail address.   This tells the media that your event is legitimate and they can contact you.  If the contact person is different from the sender, they will probably contact both.  In the subject of the e-mail, indicate, for example:  "Calendar: for May 19 event" .
  • If you send a calendar release for the first time, the media staff usually contacts you.  Designate the same person to do your press releases.  Only ONE person to send a press release to a particular paper.  Newspapers receive more than 50 releases so avoid confusing them unnecessarily.  If two people are sending the same release, they might not know which to follow or they might not publish it at all.
  • Avoid sending "corrected" information like:  venue has changed, etc.  Do not expect them to remember your e-mail and have it corrected.  Get your facts RIGHT THE FIRST TIME.  (They might accommodate you the first time but not always.)
  • Do not send press release about parties, unless it is a fund-raiser.  
  • Due to limited space, photos are not usually published unless they are compeling enough and easy to download.  If you do, attach one photo only in JPG file, size: 5 x 7".  
  • Do not attach press release to the e-mail.  Send it as part of the e-mail. 
  • You can send press releases to different newspapers (ex. Alibi, Alb Journal Venue) at the same time if they have similar deadlines.  
  • Do not send too early.  It might get lost.  Always watch for their deadline!!!  Get a copy of the publication and check the deadline.
  • It is all right to call media to follow up if they got your release (but don't nag).
POSTERS
Supplement your media exposure with posters.  If you are a non-profit organization or if your events are FREE, send them to the

Albuquerque Public Library to be distributed to 17 branches.  Do not leave posters in the library without permission or they will be removed.  If possible, use half-sized poster so they have a better chance of being posted in a crowded bulletin boards.  Send them to the Customer Service (Main Library, second floor) or mail to:

Albuquerque Public School (Provision of the APS Board Policy #K.08).  At least 2 months before the event, get a permission from APS through Communications Office.  Here are the requirements:  Write a letter of intent:
  • header should include your address, tel, e-mail
  • tax no. or non-profit no. of your organization
  • why you want students to attend (ex. to encourage multi-cultural understanding)
  • a copy of your poster
  • address to:

  • After they approve, they'll send you the permit. Make a copy of this permit and take it to the schools with your posters.  
Post in cafes like the Flying Star, Popejoy, restaurants, senior centers, community centers, coops, and other public places where you can post them.  Do not use a FULL PAGE poster.  Use at least half-page.  You have a better chance to find a space in a crowded board.  (Bring your scotch tape and push pins.)

Be courteous.  Do not remove or cover other posters there (unless event is over).  Ask permission from staff.
